TrueAuto: Microsoft Teams Channel Notifications

Want to receive instant alerts inside your Teams channel when an ASN fails validation? Read this knowledge article to learn all about this new feature in TrueAuto!

Written by Quyen Nguyen

Product: TrueAuto

TrueAuto provides instant warning messages when an ASN fails validation. This helps identify and fix issues immediately, preventing missed shipment cut-offs, manual intervention, and downstream supply chain disruptions. In addition to traditional Email notifications, you can now use the new real-time option.

IMPORTANT NOTE

Receiving instant alerts inside a designated Microsoft Teams channel is only applicable to shipments imported from ERP payloads. It is not applicable to shipments created and sent directly from TrueAuto, which display direct pop-ups upon validation.

Microsoft Teams Channel Notifications

When an ASN fails validation, the system sends a formatted card to your Teams channel containing the ASN number, supplier, ship date, and warning type. It also includes a direct link button to open the relevant ASN record in TrueAuto.

How to set up

In Microsoft Teams

  1. Create a channel.

    1. Open Microsoft Teams and find your team on the left side

    2. Click the More options icon (three dots) next to the team name and select Add channel.

    3. Type a Name and Description for your channel, e.g., UserGroupNotification.

    4. Choose a channel type. Standard is recommended so everyone on the team can access the alerts.

    5. Select the Post option for the Layout.

    6. Click the Create button.

  2. Create a workflow template (Webhook).

    1. Click the More options icon (three dots) next to your channel name and select Workflows.

    2. In the Workflows pop-up, select the Send webhook alerts to a channel template.

    3. Confirm that your Team and Channel names are correct, then click Save.

    4. On the next screen, click Copy webhook link to save the URL to your clipboard.

NOTE: This Teams webhook link will be then used for connecting with TrueAuto.

  3. Set up channel notification settings.

    1. Click the More options icon (three dots) next to your channel name and select Channel notifications.

    2. In the Notify me for all new posts section, select Show in Activity and banner from the dropdown. Then, click Save.

In TrueAuto

  1. From the TrueAuto menu, select Settings > Team Notifications.

NOTE: Not seeing the Team Notifications menu option? Your TrueAuto administrator will need to add the appropriate group permissions to your account.

  2. Click the New button to create a new notification record.

  3. On the Team Notifications screen, fill out the Team Notification Name field.

  4. Paste the webhook link you copied from your Microsoft Teams channel into the Team Webhook URL field.

  5. Click Save.

  6. Re-open the notification record you just saved to assign the trading partner EDI messages. On the right-hand pane, click the Assign icon.

  7. In the Trading Partners pop-up, check the boxes of trading partner EDI messages you want to configure for the Teams channel notifications, then click Select.

  8. The trading partner EDI messages are assigned. Click Save to finish.

The team notification has been set up.

How it works

When an ASN is sent and fails validation, a warning card will appear in your Teams channel. Simply scroll down the card and click the View Shipment button to jump directly to the Customer Shipment page in TrueAuto.

NOTE: The content of the Teams warning card is like the content of the Email notification.

NOTE: Upon clicking the View Shipment button from the Teams notification, you will be prompted to log in if you are not already signed into TrueAuto.
