Purpose: Create a shipment in TrueAuto, assign firm demand, build the packaging structure, and generate shipment labels.
Version | Date | Change summary |
1.0 | October 2026 | Initial release. |
1.1 | October 20, 2026 | Added shipment search and filters, creating a new shipment, manual and automatic firm order assignment, and screenshots. |
• Packaging master data such as Qty/Pack and Qty/Master drives the calculated inner and outer containers. If these values are fully configured, Automatic Assignment can be used.
• Before you build labels, check that each Trading Partner Part on the shipment has Qty/Pack and Qty/Master configured. These values drive the calculated inner and outer containers. If either value is missing or incorrect, Automatic Assignment is unavailable and the pallet count may be wrong, so correct the Trading Partner Part setup first.
• Open the Customer Shipments menu from the main menu on the left side of the Home page. This guide uses the Shipments and Barcode Labels options.
Figure 1. The Customer Shipments menu, expanded to show Shipments, Barcode Labels, Outer Containers, and Inner Containers.
The Customer Shipments screen lists your shipments. Use the Filter panel, the Sorted by option, and the search box under each column heading to find a shipment quickly.
Use the Filter Panel
1. On the main menu, expand Customer Shipments and click Shipments.
2. In the Filter panel, set the criteria you need: Ship Date (From) and (To), Delivery Date (From) and (To), Trading Partner, Shipping Status, and Exceptions filter.
3. Click the calendar icon to pick a date, or select a value from a dropdown list. Dropdown lists show All until you choose a value.
4. Click Filter. The list shows only the shipments that match your criteria.
5. To clear your criteria and return to the full list, click Reset Filter.

Sort the List
1. Use the Sorted by dropdown list to choose the column that the list is sorted by. In the example above, the list is sorted by Ship Date.
2. You can also click an arrow next to a column heading to sort the list in ascending or descending order.
Search Within a Column
Under the column headings is a row of search boxes. Use them to search dynamically within the results.
1. Click the search box under the column heading you want to search, for example Ship ID / ASN Number, Trading Partner, Ship From, or Ship To.
2. Type the text or number you want to find. The list narrows to the rows that match your search string.
3. The Status column has a dropdown list instead of a text box. Select a status such as Orders Assigned, or leave it set to ALL.
4. To clear a column search, delete the text in its search box.
5. Scroll right to see further columns. Use records per page and Page at the bottom of the list to move through longer results.
Tip: Use the Filter panel first to narrow the list by date range or trading partner, then use a column search to find a specific Ship ID / ASN Number.
Use the Action Buttons
Select a shipment by ticking the checkbox at the start of its row, then use the buttons along the bottom of the screen.

Firm Order lines can be added to the shipment manually or automatically. Both methods use the Firm Orders tab of the saved shipment, and the shipment details you entered on the General tab. Choose the method that suits the shipment.
Option 1: Assign Firm Orders Manually
1. Open the shipment: From Customer Shipments > Shipments, click the shipment you just created. Use the Filter panel if you need to find it.
2. Open the Firm Orders tab: Click the Firm Orders tab, then click Assign.
3. Select the firm orders: On the Unassigned Firm Orders window, select the Firm Order lines being shipped on this shipment, then click OK.
4. Enter the shipped quantity: Enter the shipped quantity for each assigned line. If you are short shipping or over shipping, enter the actual quantity being shipped.
5. Save the shipment: Click Save. The shipment status changes to Orders Assigned.
Option 2: Assign Firm Orders Automatically
Auto Assign assigns every firm order whose Ship To, Ship Date, and Delivery Date match the same fields on the shipment. Check these fields on the General tab before you start.
1. Check the General tab: Confirm that the Ship To, Ship Date, and Delivery Date on the shipment are entered and saved.
2. Open the Firm Orders tab: Click the Firm Orders tab, then click Auto Assign.
3. Select the Ship From: On the Additional Selection Information window, select the Ship From, then click OK.
4. Review the result: TrueAuto assigns the matching firm orders to the shipment. The Ship From, Plant ID, Project Nbr, and Carrier Code fields on the General tab are filled in automatically.
5. Enter the shipped quantity: Check the shipped quantity on each line and change it if you are short shipping or over shipping.
6. Save the shipment: Click Save.
If No Firm Orders Are Available
If no firm orders appear, or Auto Assign does not assign anything, check that the Ship To, Ship Date, and Delivery Date on the shipment match the firm orders, and widen the dates if needed. You can also check that firm orders exist for the trading partner under Customer Demand Mgt > Firm Orders. If you still cannot find them, contact TrueAuto Support.
1. Select the shipment: From Customer Shipments, select the shipment you just created.
Figure 5. Select the shipment, then click Build Labels.
2. Start Build Labels: Click Build Labels.
Note for shipments with existing serials: If label serials are already associated with the shipment, TrueAuto displays options to create new serials, reprint existing serials, or prompt for each order. This prompt does not appear the first time Build Labels is used for the shipment.
3. Review pallet count: In Packing Information Required, review the calculated number of Outer Containers (pallets). Adjust the total if needed, then click Next. You can still assign NEW pallets at the next stage if necessary.
Figure 6. Review or adjust the calculated pallet count, then click Next.
4. Assign containers: Use Automatic Assignment to place Inner Containers (boxes, totes, trays etc) onto available Outer Containers (pallet, skid, cage, gaylord etc.), or drag Inner Containers from the left side to the appropriate pallet on the right. If a container is not palletized, leave it on the left. Use New Pallet if another Outer Container is required. To move all containers related to a single part number drag the part number. To move a single container drag the inner container number onto the required pallet.
Figure 7. Assign Inner Containers automatically or by drag-and-drop.
5. Save the structure: When the packaging is correct, click Next. If TrueAuto identifies empty new pallets, confirm whether they should be removed.
6. Print or save labels: TrueAuto saves the Shipment Structure and opens label print previews. If you do not see the label output, please make sure your browser allows pop-up tabs on the TrueAuto site. Depending on the shipment structure, previews may include stand-alone/non-palletized container, master, mixed, and inner-container labels. Print the labels or save the PDFs as required.
Figure 8. Confirmation that the Shipment Structure was saved.
The Barcode Labels menu provides a central place to review barcode label records created through Build Labels and other TrueAuto labeling processes. Existing records can be opened to review label details and can be printed or reprinted as needed.
1. Open Barcode Labels: Go to Customer Shipments > Barcode Labels.
2. Find the label record: Use the available filters to locate the required barcode label, then select the record.
3. Review label details: Open the selected record and review the information on the General tab.
4. Reprint the label: Select the required barcode label record and click Print to reproduce the label.
Figure 9. Use Customer Shipments > Barcode Labels to locate and review existing label records.
Important: Use an existing barcode label record when reviewing or reprinting a label. Creating a new barcode label record is a separate process is not required when the label already exists and may overwrite the associated serials with new serials.
After packing and labeling are complete, review the shipment and complete all mandatory shipment information before sending the ASN. Mandatory fields will be highlighted on the General tab of the shipment.
1. Review the shipment: Open the shipment and complete the mandatory fields highlighted on the General tab.
2. Print shipping papers: On the Customer Shipments screen, select the shipment and click Shipping Papers. Select the documents required by your trading partner.
3. Send the ASN: Select the shipment and click Send Document. If you are prompted for a Trailer Number, enter it. Click OK to continue.
4. Check the status: When the document is sent, the shipment status updates, for example to EDI Sent.
• Automatic Assignment becomes unavailable after you begin manual drag-and-drop, or when required packaging values such as Qty/Pack and/or Qty/Master are missing.
• If you use Automatic Assignment first, you can still manually adjust the pallet structure afterward.
• Master pallets contain Inner Containers for the same part/SKU; mixed pallets contain Inner Containers for different parts/SKUs, where the trading-partner rules allow them.
• When serials already exist, selecting Build Labels displays the serial options. Use Reprint All to reproduce the existing labels, or Create All only when new label serials are required.
• To remove a line from a shipment, select it on the Firm Orders tab and click Unassign, then choose an option and click OK. The shipped quantity is set back to 0 and the order status changes to PLN as a planned shipment. Pallets are not removed.
• Use Auto Assign when the shipment dates and Ship To match the firm orders. Use Assign when you want to choose individual lines.
Use the checks below before contacting support.
Build Labels is unavailable or labels cannot be created
Confirm that Firm Orders have been assigned to the shipment. Build Labels requires demand lines on the shipment before label serials can be created.
Automatic Assignment is unavailable
Automatic Assignment becomes unavailable after manual drag-and-drop begins. It can also be unavailable when packaging values such as Qty/Pack or Qty/Master are missing. Review the trading-partner part packaging setup, then restart the Build Labels process if needed.
The calculated pallet count is incorrect
Review the Outer Container count on the Packing Information Required window. TrueAuto calculates containers from the configured Qty/Master and Qty/Pack values, but the pallet total can be adjusted before selecting Next.
An Inner Container will not assign to a pallet
Verify that the correct pallet is available. Use New Pallet if another Outer Container is required. Containers that will ship without a pallet should remain on the left as non-palletized containers.
TrueAuto reports empty pallets
When prompted, select Yes to remove newly created pallets that do not contain any Inner Containers. Select No only if the empty pallet is intentionally required.
Labels were already printed or need to be replaced
Use Build Labels > Reprint All to reproduce existing shipment labels. Do not use Create All unless new label serials are required.
The expected label type does not appear
Review the Shipment Structure. The previews generated depend on how the containers are assigned and may include stand-alone, master, mixed, and inner-container labels.
The ASN cannot be sent after labels are created
Build Labels completes the packaging structure but does not replace shipment validation. Open the shipment and complete all mandatory fields highlighted on the General tab before sending the ASN.
Escalation tip: If the issue remains, capture the Ship ID / ASN number, trading partner, affected part number, and a screenshot of the Build Labels or Packing Information Required window before contacting TrueAuto Support.
