The "Trading Partner Address" is a value used to identify and locate a specific place, typically for the purpose of mail delivery, navigation, or other forms of communication. Addresses in TrueAuto indicate both the physical location and the mailing address that each trading partner uses for paperwork and constructing outgoing EDI. This information may be needed in order to create Bill of Lading paperwork and Packing Lists that require address information.

Why is the accurate "Trading Partner Address” data important?

The accurate addresses are critical for essential communications about the trading partner’s transactions. While the physical address is vital for accessibility requirements, contracts, and legal proceedings, the mailing address is a universally accepted and accessible means of communication that most people are familiar with, to receive accurate and on-time notifications about their orders and shipments.

Failure to provide accurate address information can have a number of consequences:

  • Data breaches: If your transaction information is sent to the wrong address, it can be a data breach that compromises your security.

  • Shipping issues: Incorrect shipping addresses can lead to delivery delays, lost goods, and increased shipping costs. In some cases, incorrect addresses may result in packages being delivered to the wrong location.

  • Email issues: You might not be timely notified of the progress of your shipments, or any issues related to your orders such as it might be short-shipped or cannot be fulfilled for some reason.

Providing complete and accurate address information and contact information is one of the best practices to establish trust and minimize risk in a digital and global world. This is especially important for e-commerce, and financial transactions.


Add a Trading Partner Address

In TrueAuto, addresses are automatically added with incoming data. However, if you have a need to manually add a new trading partner address, the instructions provided in this article can assist you.

  1. From the Settings menu in TrueAuto, click Addresses.

  2. On the Addresses page, click New.

  3. Under the General tab, fill out the details of the new Trading Partner address. Use the Field Definitions provided in the table, below.

  4. Switch to the Accounting/Contacts tab, then fill out the details.

  5. When you are finished, click Save.

Trading Partner

The ID code for the Trading Partner.

Code Type

The code identifying the type of the Trading Partner’s addresses.

Address Code

The EDI qualifier for the address (92=Predefined, 1=DUNS).

Short Name

A brief name assigned to the Trading Partner in the system.

DUNS

The Trading Partner’s registered Data Universal Numbering System (DUNS) number. This unique numeric identifier is a 9-digit number.

Company

The name of the company.

Address 1

The first line of the address, containing the number and name of the street or road where the company is located.

Address 2

The second line of the address, usually used for suite, office, or building number, or other identifying information where the company is located.

City

The city where the company is located.

State

The State where the company is located.

Zip Code

The postal code where the company is located.

Country

The country where the company is located.

The address connection to external applications, such as an Enterprise Resource Planning (ERP) and Material Requirements Planning (MRP) system.

Our Vendor Nbr

Your vendor number for this vendor's Ship From address.

Address Status

This field is used in certain incoming EDI documents.
